How it usually goes
Good people. Good ideas.A paper trail with a lot of dead ends.
We say this with love, as safety people ourselves: we've never met a meeting we couldn't add a sign-in sheet, a binder and one more form to. All with the best of intentions.
The minutes
Three versions, two inboxes
And one printout on the break room board. Nobody is sure which one the committee approved, or whether it did.
The good idea
Raised by second shift in March
Written down in April. Still waiting for management to say yes, no, or the classic “let me look into it.”
The suggestion box
By the time clock since 2019
Its key went missing two plant managers ago. The suggestions inside are holding up fine.
What it keeps
Everything the committee does,in one place.
One place is a lot fewer places than we safety folks usually manage. Here's what goes in it.
A charter people can find
What the committee is for and how it runs, in plain words, with every approved version kept. No more guessing which one is current.
Everyone on the roster
Both shifts, every area, the safety advisor. Hourly members don't need a sign-in to be on the committee or to have their attendance counted.
Meetings and minutes in one place
A year of meetings on the calendar, agendas that fill themselves in, and minutes, whether they were typed, handwritten and scanned, or pasted from a Teams recap.
Actions that get finished
Every action has an owner and a date, and the committee checks that the fix worked, not just that someone said it was done.
Recommendations that get an answer
When the committee asks management for something, the answer comes back in writing: yes, yes in part, or no, with the reasons and the dates.
A poster for every site
Anyone can scan it and tell the committee what they saw, with their name or without it, and come back later to read the answer. No sign-in, nothing to download.
The safety concern poster
The people closest to the work see the most. Make it easy to say so.
Every site gets a poster. Anyone there can scan it, in English or Spanish, tell the committee what they saw, add a photo, and keep a private link to read the answer. New concerns land on the next agenda on their own, and the committee's answer is what the person reads.
Have a Safety Concern?
Scan to tell the safety committee. Your name is up to you.
Is this a STOP work situation?
If it is, stop and get your supervisor right away.
Rules where you work
It keeps your committee's records. The law where you work sets the rules.
Sites in the United States
Some states require safety committees, and some set rules for who serves on them, how often they meet and what records they keep. PraxysEHS Committee Room keeps your committee's charter, meetings, minutes and actions. It doesn't check them against those rules, and it doesn't replace them. Check the rules for your state.
Sites in Canada
In Canada, most workplaces with 20 or more workers must have a health and safety committee by law (the threshold is lower in some provinces, and in others a director can order one). Federally regulated workplaces follow the Canada Labour Code. The law where you work sets the committee's name, who sits on it, how members are chosen, how often it meets and inspects, and what records it keeps. PraxysEHS Committee Room keeps your committee's charter, meetings, minutes and actions. It doesn't check them against those rules, and it doesn't replace them. Check the rules for your province or territory, or the Canada Labour Code if your workplace is federally regulated.
At Canadian sites, each committee starts with the name its province, territory or the Canada Labour Code gives it, and the members who speak for workers are “worker members.” Québec waits until Committee Room is in French.
A tool for whoever gets asked “whatever happened with that?”
One committee or twenty, one site or many. Never sat on a safety committee before? Every screen says what it's for, in plain words.
- Committee chair or co-chairs
- Whoever takes the minutes
- Employee and worker members
- Plant manager who answers the committee
- Safety advisor
- New hire who inherited the binder
Who it's not for:
- Anyone who enjoys reading last year's open actions out loud every month. We'll miss the tradition.
- Teams looking for a box to check so the committee looks finished. It keeps the records. It doesn't grade them.
- Companies that prefer the minutes stay a mystery. Here, they're easy to find.
Who it IS for: everybody else.
Who builds it
Decades on the job, not a weekend reading about it.
The people behind PraxysEHS are seasoned safety professionals, each with multiple decades in the field: in plants, on job sites, and in more committee meetings than anyone should have to sit through.
We build alongside our partner, Blaine J. Hoffmann, MS OSHM: three decades in EHS, author of Rethinking SAFETY Culture and Rethinking SAFETY Communications, and producer and host of The SafetyPro Podcast. Every tool is put through its paces by people who've done the job the hard way first.
Questions people ask
No, and no tool can. It keeps your committee's records in one place and helps the follow-up happen. The law where you work sets the rules for your committee, so check them for your state, province or territory.
No. Anyone can be on the roster without one, and anyone at the site can use the safety concern poster without one. Members who do sign in see the committee on a phone or a computer.
$29 a site a month, or $319 a site a year. Unlimited people and committees. 25 sites or more, we'll quote.
Yes. Paste the meeting's recap and it becomes the draft minutes, approved at the next meeting like any other minutes.
You can keep it. We know some of us safety folks are attached. But everything it held is in Committee Room, and you can download it anytime.
Yes. A name is always optional. When someone does give one, only the few people who answer concerns for the committee see it.
Yes, anytime: approved charters, minutes and written answers as PDF or Word, and the meeting calendar for Outlook or Google Calendar. Downloads carry approved records only.
Yes. Same people, same plain words. Committee Room is its own app with its own account, so you can use it without the others. Already use PraxysEHS Human Factors Incident Analysis? Add Committee Room to it for $300 a year for your whole company, and your committee reviews your incidents on its agenda. Already use PraxysEHS Project Manager? Fewer binders. More fixes.

PraxysEHS Committee Room keeps your safety committee's records. It doesn't decide what the law requires of your committee where you work, it doesn't check your committee against those rules, and using it isn't legal advice.
