Add-on · Committee Room

The committee meets. Then something actually changes.

The Committee Room add-on keeps each site's committee in PraxysEHS Project Manager, next to the projects it cares about: its charter, a year of meetings, agendas that fill themselves in, minutes and who came, and an action list where the bigger items become projects.

How it usually goes

Good people, good ideas.A binder where they go to rest.

The binder

Minutes, 2019 to last March.

April is in someone's inbox. May was handwritten and may have been recycled.

The action list

Item 7: look into the lighting at Dock 2.

Open since spring. Still being looked into. Read aloud every month, right after the coffee.

The roster

Who's on it this year?

There's a sign-in sheet from the last meeting. It has a coffee ring where the second shift should be.

What it keeps

Everything the committee does.Next to the projects it cares about.

  1. A charter in plain words

Start from a plain-language charter and make it yours: what the committee is for, who's on it, how often it meets, and how it keeps its records. Someone other than whoever wrote it approves each version, and earlier versions are kept.

A committee's charter, version 1, in force and approved by the plant manager, with its sections in plain words and a PDF and Word download
  2. A year of meetings, set once

Pick the rhythm, say the second Tuesday at 2:00 PM in Training room B, and the year's meetings are on the calendar. Add them to Outlook or Google Calendar. Move or cancel one with a reason.

A committee's page: the next meeting, when it meets, and the meetings coming up and already held
  3. Agendas that fill themselves in

Approving last month's minutes, the open and late actions, and where each safety project stands are already on the agenda. Members add anything new in a line.

The next meeting's agenda: approve the last minutes, open actions with one late, two safety projects, and items members added
  4. Minutes, and who came

Upload the minutes as a PDF, a Word file or a photo of the handwritten notes, and check off who came. The quorum is worked out from the charter. Minutes stay a draft until the committee approves them at its next meeting.

A held meeting: who came, checked off, with the quorum met, and the minutes, approved at the next meeting
  5. Actions that go somewhere

Every action gets an owner, a due date and where it came from. The owner marks it done; the committee confirms it. The bigger ones become a project proposal with one click, already filled in.

A committee's open actions, each with an owner and due date, and buttons to mark it done or make it a project

The whole committee

Everyone on the roster, with or without a sign-in.

Keep who's on the committee, their part on it, the area and shift they speak for, how they were chosen, their term, and the meetings they came to. Hourly members can be on the roster without a sign-in. Members who do sign in see the committee on their phone, agenda and all.

Rules where you work

It keeps your committee's records. The law where you work sets the rules.

Sites in the United States

Some states require safety committees, and some set rules for who serves on them, how often they meet and what records they keep. PraxysEHS Project Manager keeps your committee's charter, meetings, minutes and actions. It doesn't check them against those rules, and it doesn't replace them. Check the rules for your state.

Sites in Canada

In Canada, most workplaces with 20 or more workers must have a health and safety committee by law (the threshold is lower in some provinces, and in others a director can order one). Federally regulated workplaces follow the Canada Labour Code. The law where you work sets the committee's name, who sits on it, how members are chosen, how often it meets and inspects, and what records it keeps. PraxysEHS Project Manager keeps your committee's charter, meetings, minutes and actions. It doesn't check them against those rules, and it doesn't replace them. Check the rules for your province or territory, or the Canada Labour Code if your workplace is federally regulated.
